Your roadmap for all things Epay Manager.

What is Epay Manager?

Epay Manager is a back-office automation and payments platform that increases invoicing efficiency, minimizes manual audit processes, automates payments, and improves working capital for freight brokers.

How does Epay Manager benefit me as a broker?

Epay Manager’s widely adopted invoicing platform is designed to virtually eliminate operational reliance on email-based invoicing workflows and streamline mundane tasks, creating a more efficient AP/AR process for brokers and carriers alike.

Capture efficiency gains such as:

  • Eliminate email inbox management and the mess that comes with it (Duplicative or piecemealed invoice submissions, random email inquiries, etc.)
  • Automated load doc classification, document audit, and exception spotting
  • Fraud mitigation by preventing bad actors from invoicing your team
  • 100% accurate carrier invoicing submissions and customer billing
How does Epay Manager benefit my partners as a broker?

Carriers and factors manage one unique login to access Epay Manager’s Self-Service portal for all of their brokerage partners, enabling automated invoicing and real-time visibility into their open invoices.

In addition, this streamlines and secures the invoicing workflow by enabling an in-platform process where users can be confident that they are reaching the right party to upload documents, manage disputes, and make payments.

By increasing the speed and accuracy of the carrier/factor invoicing process, your customers receive timely, organized, and accurate invoices from their broker partners.

How does Epay Manager work?

Epay Manager consists of four configurable modules for brokers to choose from: Accounts Payable, Accounts Receivable, AI-Audit Document Insights, and Working Capital.

All users start with the Accounts Payable module, which supports the industry’s only proactive invoicing workflow. The key to this proactive workflow is Epay’s integration with many of the industry’s leading broker TMS platforms.

When a load is delivered in the broker’s TMS, Epay automatically generates a carrier invoice using the most up-to-date data from the TMS.

  • The carrier, or factor, then receives a notification prompting them to upload their POD to the transaction your TMS generated, and either accept or dispute the invoice amount.
  • Brokers can then review supporting documents, resolve any disputes, and approve the invoice for payment.
  • This workflow provides the foundational structure and automation that emai-based audit and payment providers cannot match.

The Accounts Receivable module lets brokers use customer-specific logic within Epay to automate rate adjustments, document indexing, and customer billing processes. The AR Module is driven by Epay’s unique ability to link the AP and AR records together.

  • Epay automatically packages the appropriate documents submitted by the carrier/factor for delivery to your customer.
  • Epay generates an invoice with the customer-specific data from the broker’s TMS
  • Epay then delivers the customer billing packet via a single shipment email, batch billing, portal upload, EDI 210, or returns the packet to your TMS for processing.

The AI-Audit Document Insights module utilizes OTR Solutions’ AI-driven NLP engine to accurately classify delivery documents and flag any discrepancies based on business rules customized to your brokerage. This enables a “no-look” document audit, reducing the burden of manual document collection and review for brokerage back-office teams.

Finally, the Working Capital module enables flexible funding, allowing brokerages to leverage OTR Solutions’ industry-leading working capital solutions to increase liquidity and free up their balance sheet. Brokers can select from (1) Standard Carrier Pay Facilitation, (2) AP Financing, (3) QuickPay Facilitation and Financing, and (4) AR factoring.

Why is a TMS required for brokers interested in Epay Manager?

Epay Manager’s proactive invoicing workflow relies on Epay’s integration with a broker TMS. TMS data forms the foundation of Epay’s in-platform invoicing process. Once Epay facilitates invoicing and payment, it pushes all updates back to the TMS for easy record-keeping.

Over the last two decades, Epay Manager has built powerful integrations with many of the leading broker TMS platforms, such as McLeod, Descartes’ Aljex, Revenova, Turvo, and others. Epay has also developed a modern API infrastructure that enables llowing for seamless integration with proprietary TMS platforms.

What does it mean that Epay Manager is powered by OTR Solutions?

In 2024 OTR Solutions acquired Epay Manager. Before the acquisition, Epay Manager refined the platform for over 20 years, managing $7B+ in carrier payables and processing 5MM+ invoices annually. Now backed by OTR Solutions, Epay Manager grants brokers access to an industry-leading AI-Audit NLP engine and robust working capital solutions.

How do I get started with the Accounts Payable module?

Schedule a demo with the Epay team to learn how Accounts Payable automation can support your brokerage. AP automation is the foundation of Epay Manager, and you can configure additional modules around your team’s workflows, goals, and growth needs.

What is included in the Accounts Payable module?

The Accounts Payable module supports the post-delivery workflow through carrier payment. Epay creates carrier invoices from TMS data, collects delivery documents, supports invoice review, manages disputes, updates the TMS, and moves approved invoices toward payment.

When paired with Accounts Receivable, the same information can also support customer billing.

What makes Epay different from other carrier payment automation platforms?

Epay Manager brings carrier payment workflows into one secure platform, helping your team avoid the confusion of disconnected inboxes and scattered email threads.

The Accounts Payable module can also connect with Accounts Receivable, giving brokerages a more complete workflow from carrier payment through customer billing. This reduces duplicate work, improves accuracy, and supports a more scalable back office.

How is Epay's Accounts Payable module different from manual carrier payment processes?

Epay Manager helps replace manual carrier payment tasks with a more secure, centralized workflow. Instead of managing invoices through inboxes, spreadsheets, and manual checks, Epay uses your TMS data as the source of truth to create and manage carrier invoices.

Your team can reduce manual document collection, streamline disputes in-platform, and give carriers and internal teams better visibility into payment status.

How do I get started with the Accounts Receivable module?

Schedule a demo with the Epay team to learn how Accounts Receivable automation can support your brokerage. The Epay team can help identify ways to improve billing accuracy, reduce manual work, and support a more scalable back office.

What is included in the Accounts Receivable module?

The Accounts Receivable module supports the customer billing process after delivery. When connected with Accounts Payable, delivery documents uploaded by the carrier can be packaged with the customer invoice and sent to the shipper.

Brokerages can also set customer-specific rules, such as invoice delivery preferences or customized email subject lines, to support shipper relationships.

What makes Epay different from other customer billing automation tools?

Epay’s Accounts Receivable module connects customer billing to the carrier payment workflow. Instead of relying on inboxes, disconnected systems, or manual document matching, Epay keeps invoice and delivery document information in-platform.

This connection between Accounts Payable and Accounts Receivable reduces duplicate work, improves billing accuracy, and gives your team better visibility across the full back-office process.

How is Epay's Accounts Receivable module different from manual customer billing?

Epay Manager helps streamline customer billing by connecting invoice details, delivery documents, and billing workflows in one platform. Delivery documents uploaded during the carrier payment process can be automatically packaged for the shipper invoice.

This reduces manual work, helps prevent inaccurate invoices, and saves back-office teams time on document matching and billing corrections.

How do I get started with the AI Audit module?

Schedule a demo with the Epay team to learn how AI Audit can support your document review process. The Epay team can show how AI Audit reduces manual work, improves review efficiency, and helps your back office scale with confidence.

What documents can Epay's AI Audit review?

Epay’s AI Audit supports the delivery document review process tied to carrier invoice approval. After Epay creates an invoice, it contacts the carrier to review and approve it. When delivery documents are uploaded, AI Audit classifies and reviews those documents to support approval.

If the Accounts Receivable module is also used, approved documents can be packaged with the shipper invoice.

What makes Epay different from other freight audit services?

Epay’s AI Audit is highly configurable to support the unique needs of freight brokerages. The automation has been trained on billions in freight spend, millions of invoices, and thousands of human training hours.

Because AI Audit operates within the platform, document review can connect directly to carrier payment and customer billing workflows, reducing disconnected processes.

What is an AI freight audit?

Epay’s AI Audit module helps reduce manual document review by using automation to classify and review delivery documents uploaded by carriers. Documents are tied directly to the invoice, helping your team review approvals faster and with fewer manual checks.

AI Audit uses Natural Language Processing technology and has a 99.5% automated classification rate, helping brokerages reduce human error and manage document review at scale.

The OTR Solutions and Epay teams can help recommend the best fit for your brokerage.

How do I access working capital solutions?

Working capital solutions are available to brokers who partner with OTR Solutions or utilize Epay Manager Powered by OTR Solutions. These solutions are integrated directly into these platforms - either the OTR Solutions Client Portal or the Epay Manager Portal. These can also be made available directly within a broker’s TMS.

How do working capital solutions benefit freight brokers?

Working capital solutions are essential tools for many freight brokerages, particularly those facing challenges with their carrier quick pay program, extended customer pay terms, or delayed margin realization. Brokers can boost cashflow and create new revenue streams with OTR Solutions’ working capital solutions.

OTR’s working capital solutions were designed with the broker’s needs in mind. Within the platform brokers are able to set customizable carrier pay terms, which increases quick pay utilization and revenue. There are also no platform funding requirements, so brokers are able to benefit from instant liquidity and interest savings.

What working capital solutions are available through Epay Manager?

Epay Manager's Working Capital Solutions are powered by OTR Solutions and include Brokerage Factoring, AP Financing, and Quick Pay Financing.

Working capital solutions allow freight brokers to outsource their payables to OTR Solutions to alleviate cash flow constraints and take advantage of flexible financing options. These industry-leading working capital solutions are also integrated into the Epay Manager Portal.

Brokers can select from the working capital solution that best fits their business needs:

• Brokerage Factoring: OTR handles payment to the carrier or factor and collects from the broker’s customer on the back end, so that brokers have immediate access to their margin. Available for both Accounts Payable and Accounts Receivable.

• AP Financing: OTR funds the payable on your behalf based on your agreed-upon Net terms (e.g., Net-30). The broker then repays OTR, along with the AP financing fee, based on the negotiated payback terms.

• Quick Pay Financing: OTR funds the quick pay to the carrier and shares in the discount with the brokerage. Brokers can offer carriers expedited payment for a small fee (discount), often around 3– 5%.

Why is working capital important to a freight broker?

Working capital refers to the cash available to cover day-to-day operating expenses like carrier payments, fuel advances, and payroll while waiting on shipper payments.

Maintaining strong working capital is imperative to manage cashflow gaps between paying carriers and receiving payment from shippers.
